This guide walks you through completing your system setup, importing records, and preparing to send your first mail campaign.
Complete the Setup Wizard
Before sending any mail, you must complete the Setup Wizard.
Access the Setup Wizard
- Log into your system
- Click Setup
- Launch the Setup Wizard
Step 1: Profile Information
Enter Basic Details
- Name: This will appear on your letters
- Profile Picture (optional): Internal use only
- Email & Phone: Personal contact info (not public)
- Time Zone: Your actual time zone
Add Digital Signature
- Click Generate Signature, or
- Upload your own signature image
This signature will appear on your letters.
Step 2: Business Setup
Choose Business Type
- Individual
- Company / LLC
- DBA (Doing Business As)
You can start with a DBA and update later.
Step 3: Company Information
This information is public-facing and appears on your letters and websites.
Company Phone
- Recommended: Use a separate business line
- Options:
- Virtual phone system (recommended)
- Google Voice (minimum)
Company Email
- Recommended: Create a business email
- Options:
- Free email (Gmail, Yahoo)
- Domain-based email (optional)
Company Address
- Recommended:
- Virtual mailbox
- PO Box
- Avoid using your home address
Company Time Zone
- Recommended: Use a U.S. time zone
- This appears on your letters (business hours)
Step 4: Buying Setup
Buying Brand
- Enter your company name or DBA
Buying Website Domain
- Enter your desired domain name
- Click Check Availability
- Click Register Domain
One free domain is included.
Step 5: Phone and Email Setup
Offer Phone (Line 2)
- Used for negotiations and offers
Offer Email
- You can use:
- One shared business email (recommended), or
- Separate emails (optional)
Step 6: Selling Setup
Selling Brand
- Use the same company name as buying
Selling Website Domain
- Enter and register your selling domain
Sales Phone (Line 3)
- Used for incoming buyer inquiries
Sales Email
- Same email as buying (recommended), or separate (optional)
Step 7: Review and Complete Setup
- Review all entered information
- Click Complete Setup
You can update any of these settings later under:
- Profile
- Settings → Company
Import Records (Find Deals)
Once setup is complete, you can begin importing records.
Access the Find Deals Wizard
- Go to Prospecting
- Click Wizards
- Select Find Deals
Choose Import Method
- Select Import from Data Service
- Click Define New Criteria
- Click Next
Select Location
- Choose State
- Select County
- Click Next
Apply Filters
- Use Standard Filters (recommended), or
- Customize filters such as:
- Property value
- Acreage
- Owner type
- Mailing state (e.g., out-of-state owners)
Click Refresh after making changes.
Select Number of Records
- Enter how many records to import
- Click Next
Tag Records (Recommended)
- Add a tag for organization
- Example:
Onslow_04-06-2026
- Example:
Complete Import
- Click Confirm
- Records will be added to your system
Optional: Map Targeting
You can target specific areas using a map:
- Select Map View
- Draw a custom area (polygon)
- Apply filters
- Import records within that area
Understanding Record Quality
- Data is high quality but not guaranteed
- Some records may:
- Have outdated addresses
- Be returned or rejected
Skip Trace Records
- Invalid records are moved to Skip Trace
- You can:
- Open the record
- Click Actions → Skip Trace Owner
- Update contact details
Sending Mail
Start a Campaign
- Go to Prospecting → Campaigns
- Select your records
- Choose Neutral Letter
- Click Start Campaign
Choose Delivery Method
- Integrated Mail House (recommended)
- External Mail House (e.g., ITI Direct Mail)
- Requires exporting and uploading files manually
Update Record Status
After sending mail:
- Move records to Mail Letter 1
Using Property IQ (Advanced)
Property IQ helps analyze properties before making offers.
Access Property IQ
- Go to Prospecting → Wizards
- Select Property IQ
What It Provides
- Estimated property value
- Comparable sales
- Listing data
- Suggested offer range
- Nearby amenities
Use this tool after a seller responds.
Best Practices
- Complete setup before importing records
- Use a dedicated business phone and email
- Start with standard filters
- Tag all imported records
